Refund and Cancellation Policy

By enrolling in the UniColl Exchange program and submitting the UniColl service fee, the participant acknowledges and agrees to the following terms and conditions.
1. Stage-Based Service Structure
UniColl’s total service fee ($1,500 USD) is divided into two service stages:
Stage 1 – $500 USD (Enrollment & Host Placement)
Stage 2 – $1,000 USD (Visa & Program Support)
Each stage corresponds to completed service milestones within the program process.
UniColl service fees cover consulting, coordination, and administrative support services only.
2. Cancellation During Stage 1 (Before Host Offer)
If a participant cancels enrollment before receiving an official host company offer:
The Stage 1 Fee ($500 USD) is non-refundable once processing has begun.
No additional fees are due if Stage 2 has not been paid.
Administrative processing and placement coordination begin immediately upon enrollment.
3. After Host Offer Confirmation
Once an official host company offer has been confirmed:
Stage 1 Fee remains non-refundable.
Stage 2 payment becomes due before sponsor submission.
If the participant voluntarily withdraws after host confirmation:
Stage 1 Fee is non-refundable.
Stage 2 Fee (if paid) is non-refundable.
Voluntary withdrawal includes:
Change of decision
Personal reconsideration
Failure to submit required documentation within requested timeframe
4. Visa Denial Policy
If a participant attends the scheduled visa interview and receives an official visa denial from a U.S. consulate:
Stage 1 Fee ($500 USD) is retained for completed placement services.
$500 USD from Stage 2 is retained for sponsor coordination and visa preparation services.
The remaining $500 USD from Stage 2 will be refunded within 14 business days.
Official visa denial documentation must be provided.
The following situations do not qualify as visa denial:
Failure to attend the visa interview
Incomplete documentation due to participant negligence
Voluntary withdrawal before the interview
Refunds apply only to UniColl service fees and do not include any government or third-party fees.
5. Cancellation After Sponsor Submission
Once sponsor processing and DS-2019 issuance have begun:
Stage 1 Fee remains non-refundable.
Stage 2 becomes partially refundable only in the case of official visa denial, as described above.
Sponsor program fees follow the refund policies of the respective sponsor organization.
6. Cancellation After Arrival in the United States
After the participant has arrived in the United States and the program has begun:
All UniColl service fees are non-refundable.
Refunds for sponsor program fees, insurance, or other services (if applicable) are subject to the policies of the respective provider.
7. Host Interview Outcome
Placement is dependent on host company hiring decisions and is not guaranteed.
If a participant is not selected by the primary host company:
Stage 1 Fee remains non-refundable.
UniColl will make reasonable placement efforts for up to 90 days from enrollment, subject to host availability and program capacity.
Such efforts constitute reasonable efforts only and do not guarantee placement.
8. Non-Refundable Third-Party Fees
The following fees are non-refundable once paid:
SEVIS Fee (I-901)
DS-160 Visa Application Fee
Bank transfer or payment processing fees
Currency exchange losses
Document shipping fees
Insurance fees (subject to provider policy)
9. Exceptional Circumstances
In documented extraordinary circumstances (such as serious family emergency or medical emergency), UniColl may review refund eligibility at its sole discretion.
A written request with supporting documentation must be submitted within a reasonable timeframe.
Approval of such requests is not guaranteed.
